Incoming Student Mobility for Internship 

The procedure to accept a student for training under the Erasmus+ program is outlined below:

Before Arrival:

There are two options for candidates to contact the University of Opole to inquire about doing an internship:

Option A:

  1. The candidate may contact a specific lecturer or departmental coordinator where they would like to complete their mobility.
  2. If the lecturer or departmental coordinator agrees, they must inform the Office for Research and Project Management (International Mobility Area) about the student and request the necessary documents for the student to complete.
  3. The International Officer responsible for Student Mobility for Traineeship (SMT) will send the required documents, including the Learning Agreement for Student Mobility for Training, Application for Incoming Students, and Application for Accommodation, to the candidate and ask them to complete and return them.
  4. Details about the procedure for signatures and forms are outlined below.

Option B:

The candidate may also contact the Office for Research and Project Management (International Mobility Area) directly to express their interest in doing an internship at the University of Opole. They should provide detailed information, including a motivation letter, CV, the department they wish to join, and the dates of their intended training.
The International Officer for SMT will then contact the departmental coordinator to inform them of the student’s interest and inquire if they are willing to accept the student.

  • If the feedback is negative, the Erasmus office will reasonably reject the candidate’s request.
  • If the feedback is positive, the responsible person will send the following three forms to the student, which must be completed and signed by the home university:
  1. Learning Agreement for Student Mobility for Training
    This must be filled out and signed by the student, the departmental coordinator of the home university, and the host university and lastly by The International Officer for SMT
  2. Application for Incoming Students
    This must be signed by the departmental coordinator of both the home university and the host university, and finally by the institutional coordinator of the Erasmus+ Office at the University of Opole.
  3. Application for Accommodation
    This must be filled out and signed by the student.

Once the Erasmus+ office receives these forms, the International Officer responsible for SMT checks them and forwards them to the departmental coordinator and the student’s mentor at the University of Opole for their signatures.
After all the signatures are completed, the person responsible will prepare the invitation letter and send all the necessary documents back to the student, including the three mentioned forms.
Suppose the student would like to be accommodated in one of the university’s dormitories. In that case, the person responsible will contact the dormitory administration one week before the student’s arrival to reserve a place.
The students will be requested via email to visit the Erasmus office upon their arrival.

During the Mobility:

Upon the student’s arrival, the person responsible for SMT will:
  • Provide the Arrival Certificate (upon request).
  • Guide the student to the dormitory.
  • Assist students with opening a PESEL number (Polish acronym for „Universal Electronic System for Registration of the Population”) after registering their residence in Poland for a stay of over 30 days. PESEL number is helpful in e.g. opening a bank account, signing job contracts, and using public health services in Poland and registering for the dormitory.
  • Introduce the student to their mentor and guide them in starting their training.
  • Stay in touch with the students regarding their activities.

After the Mobility:

The International Officer responsible for SMT will prepare a Certificate of Attendance (After Mobility Agreement) for the student.
The students will also be asked to write a short report about their training experience at the University of Opole, which will be shared on the website: hello.uni.opole.pl.
